Taxonomy Metadata is built by creating a taxonomy structure and linking it to a metadata category. Because Taxonomy Metadata uses a taxonomy of terms, the metadata tags available are restricted to those defined in the taxonomy structure.

Taxonomy Metadata can’t be modified or added on the fly. To modify or add metadata tags in Taxonomy Metadata, you must modify the taxonomy structure that it’s built on. This type of metadata ensures that all metadata tags used in your organization align with a predetermined classification structure, which is your taxonomy of terms.
To get started, you need to create a taxonomy. For more information, see Creating Taxonomy.
Note:You must be an Administrator to create Metadata or Collections, but anyone can assign metadata to files or sort files into collections.

Metadata Categories for Taxonomy Metadata

To use your taxonomy as metadata, you need to connect it to a metadata category. Think of this as a grouping for your taxonomy structures. A metadata category contains fields, with each field connected to one taxonomy structure.
For example, we have three custom taxonomy structures that we use in a metadata category for our product, so we create three category fields:

Creating Taxonomy

Create a taxonomy of terms to use when creating Taxonomy Metadata.
Note:You must be an Administrator to access the Administration interface.

  1. In the Dashboard interface, click Taxonomy .

    Expected Result
    The Taxonomy interface displays.

  2. Click New Taxonomy .

    Expected Result
    The New Taxonomy window displays.
  3. Enter a label for the taxonomy term.
  4. Click Save .

    Expected Result
    A taxonomy is created.
  5. Select the taxonomy.

    Expected Result
    The Taxonomy interface displays.
  6. Click Unnamed 1 to modify the taxonomy term.

    Expected Result
    The Label and Name fields for Unnamed 1 display.
  7. In the Labels field , enter a new label for the taxonomy term.
  8. Click Save .
  9. To create more taxonomy terms, do any of the following:

    1. To insert a new taxonomy term below the selected term, right-click the term and select Create Term Below . Enter a label for the taxonomy term and click Save .
    2. To insert a child term below the selected term, right-click the term and select Create Narrower Term . Enter a label for the taxonomy term and click Save .
    Expected Result
    A new term is created and named Unnamed 2.
  10. Click Save Changes .

Creating a Metadata Category for Taxonomy Metadata

Create Taxonomy Metadata by linking your taxonomy terms to a metadata category.

Note:You must be an Administrator to access the Administration interface.
  1. In the Dashboard interface, click Metadata .

    Expected Result
    The Metadata interface displays.

  2. In the Category Name field, enter a name for the category. The metadata category is a grouping for the Taxonomy Metadata.

  3. Click Add Category .

    Expected Result
    A metadata category section is added.
  4. Complete the following fields:

    1. In the Labels field , enter a label. This is a label for the metadata category. It displays when applying or filtering metadata.
    2. In the Type drop-down menu , select Taxonomy .
    3. In the Values field , select a taxonomy strcture. These are the taxonomy terms you want to connect to your metadata category.
  5. To enable search filtering using metadata, check Search facet .

    Expected Result
    The metadata displays in the Filters Tab of the Content Manager .
  6. To enable the metadata so you can assign it to files, check Enabled .

    The metadata displays in the Properties Tab of the Resource Viewer .
  7. Click Add Field and then Save Changes .

Assigning Taxonomy Metadata to Files

Use the Properties Tab in the Resource Viewer to assign Taxonomy Metadata to files.

Note:Ensure metadata values exist and that Search facet and Enabled are enabled for the metadata. You can configure your metadata in the Metadata interface of the Dashboard .
  1. In the Content Manager , right-click a file and select Properties .

    Expected Result
    The Properties Tab in the Resource Viewer displays.

  2. In the Set value field, select the metadata tag from the available options.

  3. Click Save Changes .

You have assigned metadata to the file. You can view other files that have metadata assigned to them using the Filters Tab in the Content Manager .

Deleting Taxonomy

Delete taxonomy structures that you no longer need.
Note:You must be an Administrator to access the Administration interface.

  1. In the Dashboard interface, click Taxonomy .

    Expected Result
    The Taxonomy interface displays.

  2. Click the X beside the taxonomy you want to delete.

The taxonomy strcuture is deleted.
