Using the Content Manager
Creating a Topic
Create a topic with the required elements available for that topic type.
Creating a Folder
Use the Create Folder window to create a new folder to organize files.

Creating a Topic

Create a topic with the required elements available for that topic type.
You’re in a folder in the Content Manager and want to create a new topic.
  1. Click Create New .

    Expected Result
    The Create New drop-down menu displays.
    Note:Available options vary based on your configuration.

  2. Select the topic type you want to create.

    Expected Result
    The Create New window displays.

  3. Enter a Title and File name.
  4. (Optional) By default, the file is created in the current folder. To create the file in a different folder, click Change and select a new location.
  5. (Optional) To assign the file to a collection, select Collections.
  6. (Optional) To assign metadata to the file, select Metadata.
  7. Click Create & Edit to create and open the topic for editing, or click Create to create the topic and return to the Content Manager
A new topic that includes all the mandatory elements for that topic type is created.
Creating a Folder

Use the Create Folder window to create a new folder to organize files.
You’re in a folder in the Content Manager and want to create a new folder.
  1. Do any of the following:

    1. Click the Create a new folder icon.

    2. Right-click anywhere in the file listing and click New Folder.
    Expected Result
    The Create Folder window displays.
  2. Enter a Folder Name.
  3. Click Create.
Your new folder is created and displayed in the Content Manager.
Uploading Files

Upload files, DITA files and images, to the repository for you to use in topics and maps.
Before uploading DITA files, compress the DITA files into a ZIP folder.
You’re in a folder and want to upload files.
  1. Click the Upload icon.

    The Select files to upload window displays. Your current folder location is listed next to Select upload location.
  2. Click Select files to upload.

  3. Navigate to the file(s) you want to upload and click Open.

    Expected Result
    The file(s) you selected are listed under Files to upload.
  4. Click Upload.
You uploaded the file(s) into your current folder.
Updating Images

Uploading a new version of an image using the same naming structure updates the image and all of its instances.
Note:Updating an image requires overwriting the original image with the new version. To ensure the overwrite is performed on the correct image, use the same file name for the updated image as the original image.
You’re in the folder that contains the image you want to update.
  1. Click the Upload icon.

    The Select files to upload window displays. Your current folder location is listed next to Select upload location.
  2. Click Select files to upload.

  3. Navigate to the updated image and click Open.

    Expected Result
    The Overwrite the existing file option is checked.
  4. Click Upload.
A new version of the image is uploaded to the repository, which replaces the original image and updates every instance of the image.
Starring Files

Star important files and access them in the Starred folder.
You’re in the Content Manager and want to star files.
  1. Select the star next to files you want to track.

  2. In the Browse tab, click Starred.

    Expected Result
    Your starred files display in the Starred folder.
Your files are starred and displayed in the Starred folder.
Moving Files

Move files and folders to a new location in the repository.
You’re in a folder in the Content Manager and want to move files to a new folder.
  1. Check the checkbox next to each file.

    Step Information
    Note:To select a range of checkboxes, check the first box in the range and then while holding Shift, select the last box in the range.
  2. Right-click any of the selected files and select Move.

    Step Information
    Note:The context menu indicates the amount of files selected.
    Expected Result
    The Move selected files displays.
  3. (Optional) Enter a comment for the move.
  4. Click Select Location.

    Expected Result
    The Select Folder window displays.
  5. Navigate to and select a folder location.

    Expected Result
    A folder location is selected.
  6. Click Select.

    Expected Result
    The folder location displays in the Move selected files window.
  7. Click Move.
The files are moved to the selected folder location.
Renaming Files and Folders

Change the name of a file after creation.
You’re in a folder in the Content Manager and want to rename files and folders.
  1. Check the checkbox next to each file.

    Note:To select a range of checkboxes, check the first box in the range and then while holding Shift, select the last box in the range.
  2. Right-click any of the selected items and select Rename.

    Note:The context menu indicates the amount of files selected.
  3. Enter a new name for each file.

    Step Information
    Note:An error will display if you attempt to only modify the lettercase (uppercase or lowercase). For example, you cannot rename the file “renaming_files_or_folders.dita” to “Renaming_Files_or_Folders.dita”.
  4. (Optional) Enter a comment for the rename.
  5. Click Rename.Revisions Tab
The selected files and folders are renamed.
Duplicating Files

Make a copy of a file in a different location in the repository.
Important:Before duplicating files, you need to check if the files you want to duplicate are referencing other files. You can check this by examining the Outgoing Links. If there are outgoing links, duplicating the file without also duplicating the link dependencies would break the file. For more information, see Interacting with Links.
You’re in the and want to duplicate some files to a specific folder.

Note:You can duplicate images, topics, and maps, but you cannot duplicate folders.
  1. Check the checkbox next to each file.

    Note:To select a range of checkboxes, check the first box in the range and then while holding Shift, select the last box in the range.
  2. Right-click any of the selected files and select Duplicate.

    Note:The context menu indicates the amount of files selected.
    Expected Result
    The Duplicate window displays.
  3. Click Select Location and then navigate to and select where you want to copy the file(s) to.
  4. (Optional) Enter a comment for duplicate action.
  5. Click Save.
You made a copy of the file(s) in the selected folder location.
Deleting Files

Renove files and folders from the file listing and move them to the .
Important:Before removing files, you need to check that the files you want to remove aren’t referenced by other files. You can check this by examining the Incoming Links. If there are incoming links, the file is referenced by other files and deleting the file would break those links. For more information, see Interacting with Links.
You’re in the Content Manager and want to delete files and folders.
  1. Check the checkbox next to each file.

    Note:To select a range of checkboxes, check the first box in the range and then while holding Shift, select the last box in the range.
  2. Right-click any of the selected files and select Remove.

    Step Information

    Note:The context menu indicates the amount of files selected.
    Expected Result
    The Remove these files? window displays.
  3. (Optional) Enter a comment for the remove.
  4. Click Remove.
The selected files and folders are removed and moved to the Trash. If a comment was entered, it will display in the Revisions Tab.
Downloading Files

Download topics or maps to save a back up on your computer.
You’re in the Content Manager and want to download the source files for a topic or map to your computer.
  1. Right-click a file and do any of the following:

    1. To download just the file, select Download.
    2. To download the file and its dependencies, select Download + Dependencies.

      Step Information
      We recommend you download the file and its dependenices so that referenced content such as images, keys, conrefs, and conkeyrefs display correctly.
  2. Check Save File.
  3. Click OK.
The files are downloaded to your computer.
