Collections Overview

Assigning files to collections is a method of organizing and classifying files that’s similar to folders.
Collections are a folder-esque way of organizing files. But unlike a normal folder, files can be in many collections.
You can configure your collections in the Administration interface of the Dashboard:
Note:You must have an administrator account to access the Administration interface.
Once your collections are configured, you can use the to assign a file to a collection.
Configuring Collections

Use the Collections interface in the Dashboard to configure a collection.
You’re in the Dashboard interface and want to configure a collection.

Note:You must have an administrator account to access the Administration interface.
  1. Click Collections.

    Expected Result
    The Collections interface displays.
  2. In the Collections pane, right-click an existing collection.

    Expected Result
    A context menu displays.
  3. Do one of the following:

    1. To insert a new collection term below the selected collection, click Create Term Below.
    2. To insert a child collection term below the selected collection, click Create Narrower Term.
    Expected Result
    A new term is created and named “Unnamed X”.
  4. Enter a collection Label and Name.
  5. Click Save.
  6. Create additional taxonomy terms.
  7. Click Save all changes.
A collection and its terms are created.
Assigning Files to Collections

Use the Properties Tab in the Resource Viewer to assign files to collections.
You’re in the Content Manager and want to assign a file to a collection.
  1. Right-click a file and select Properties.

    Expected Result
    The Properties Tab in the Resource Viewer displays.
  2. In the Add Collections field, select the collections you want to assign the file to.

  3. Click Save Changes.
The file is assigned to collections.
Deleting Collections

Delete collection terms that you no longer need.
You’re in the Dashboard interface and want to delete a collection term.

Note:You must have an administrator account to access the Administration interface.
  1. Click Collections.

    Expected Result
    The Collections interface displays.
  2. In the Collections pane, right-click an existing collection.

    Expected Result
    A context menu displays.
  3. Select Remove Term.
The collection term and its narrower terms are deleted.
